The NewLife Trust Minutes system is an interactive flipbook and editable report.
It allows an authorised user to:
- Read the minutes online.
- Navigate between pages.
- Edit the report directly.
- Save the edited report as JSON.
- Load a previously saved JSON file.
- Print the complete report.
- Save the report as a PDF.
Open the minutes → read/check the report → edit → save JSON → review → print/PDF.
- Open the NewLife Trust Minutes PHP page.
- Read through the complete report.
- Use the page menu to move around the report.
- Click inside the report when you need to edit it.
- Use SAVE JSON to create a backup.
- Use LOAD JSON if you need to restore a saved document.
- Use PRINT / PDF when the report is ready.

3. Opening the Minutes
From the website
Open the PHP address supplied by the website administrator.
https://your-domain.example/path/newlife_trust_minutes_17_september_2026.php
The exact address depends on where the PHP file has been installed.
From your computer
PHP files normally need to run through a PHP-enabled web server.
Simply double-clicking a PHP file on a normal Windows computer will usually not execute the PHP code.
4. Reading & Navigation
Side menu
The side menu lists the report pages. Click a page to go directly to it.
Keyboard navigation
On a computer you can use:
← Previous page → Next page
Mobile and tablet
Swipe left or right across the report to change pages.
Index
The Index provides an overview of the report. The minutes retain the original 15 numbered points.
5. Editing the Minutes
The report pages can be edited directly in the browser.
EDIT control
The minutes application contains an editing control:
When editing is ON, click inside the report text and make your changes.
What can be edited?
- Names and attendance information
- Dates and times
- Meeting information
- Discussion text
- Decisions and resolutions
- Action points
- Action status
- Supporting information
- Approval information
- Other text contained within the editable areas
Basic editing procedure
- Go to the page you want to change.
- Click inside the editable text.
- Add, remove or correct the text.
- Check your changes.
- Move to another page.
- Save a JSON backup.
6. Editing Safely
Before changing important information
Check names, dates, decisions, financial figures and action responsibilities carefully.
Avoid deleting an entire page
If you select all text inside an editable area and delete it, that page can become empty.
If this happens, use your original document or reload a previously saved JSON backup.
Keep the 15 numbered points
The document structure contains 15 numbered minutes sections. Avoid removing a complete section unless the Trustees have intentionally approved the change.
7. Understanding JSON
JSON is a structured computer-readable file format.
In this system the JSON file stores the editable contents of the report pages.
The PHP page is the application.
The JSON file contains the saved document data.

8. Saving Your Work
Use:
What happens?
- The system collects the current contents of the editable pages.
- The contents are converted into JSON.
- Your browser downloads the JSON file.
- Keep the downloaded file somewhere safe.
When should I save?
- Before major changes.
- After correcting an important section.
- After completing the minutes.
- Before printing.
- After the Trustees approve the minutes.
9. Loading a Saved JSON File
To restore a previously saved document use:
- Open the NewLife Trust Minutes PHP page.
- Choose LOAD JSON.

Select the previously saved
.jsonfile. - The saved contents are restored into the report.
- Check the restored report carefully.
- Save a new JSON backup after further changes.
Does LOAD JSON upload the file to the website?
No.
The normal LOAD JSON function reads the file selected from your computer and restores the document in your browser.
It does not automatically publish the JSON file to the website.
10. Printing / Saving as PDF
Use:
To create a PDF
- Click PRINT / PDF.
- The browser's print window opens.
- Select Save as PDF.
- Select A4 paper size where available.
- Check the print preview.
- Choose where you want to save the PDF.
- Click Save.
To print on paper
- Click PRINT / PDF.
- Select your physical printer.
- Select A4 paper.
- Check the preview.
- Print the document.
11. Uploading the Files to the Website
The minutes application is a PHP web application. The exact installation folder depends on your website.
Basic upload procedure
- Log in to your hosting control panel.
- Open the folder containing the minutes application.
- Make a backup of the existing PHP file.
- Upload the new PHP file.
- Open the PHP page in your browser.
- Test the page navigation.
- Test editing.
- Test SAVE JSON.
- Test LOAD JSON.
- Test PRINT / PDF.
Uploading a JSON backup
JSON files can normally be kept safely on your computer as working backups.
If you intentionally want them stored on the website, use your approved hosting/file-management process.
12. Backup Recommendations
Official minutes should not depend on one copy.

13. Troubleshooting
The page does not open
- Check that the PHP file is on a PHP-enabled server.
- Check the website address.
- Check that the file was uploaded correctly.
- Ask the website administrator to check the PHP/server error log if necessary.
The PRINT / PDF button does not appear
- Make sure you are using the latest PHP file.
- Refresh the browser.
- On Windows try Ctrl + F5.
- Make sure JavaScript is enabled.
JSON will not load

Make sure the file ends with
.json. - Use a JSON file previously created by this system.
- Do not manually change the JSON unless you understand its structure.
- Try an earlier backup if the current JSON appears damaged.
My changes disappeared
Changes made in the browser are not a substitute for saving the document.
The PDF preview looks wrong
- Select A4 paper.
- Check the browser print preview.
- Make sure you are using the latest PHP file.
- Try another modern browser if necessary.
14. Important Security Notes
The minutes editor makes document preparation easier, but it should still be treated as an official governance document system.
- Do not share confidential JSON backups publicly.
- Do not leave sensitive working minutes publicly accessible without appropriate protection.
- Keep a backup of the original PHP file before replacing it.
- Keep approved PDF copies separate from working drafts.
- Use clear filenames showing whether a document is working, draft or approved.
- Only authorised people should edit or approve official Board minutes.
15. Recommended Complete Workflow
- OPEN the NewLife Trust Minutes PHP page.
- READ the complete report.
- EDIT corrections and additions.
- CHECK names, dates, decisions and actions.
- SAVE JSON as a working backup.
- LOAD JSON later if the document needs restoring.
- REVIEW the complete final report.
- PRINT / PDF the final version.
- KEEP THE PDF as the fixed approved record.
- KEEP THE JSON as the editable backup.
